About the Role

We’re looking for a highly organized and proactive Account Coordinator to support day-to-day account operations across multiple client engagements.

This is an entry-to-mid-level role focused on coordination, project tracking, reporting support, client communication support, and keeping projects organized across accounts.

You’ll work closely with the Account Director and cross-functional teams to help ensure projects stay aligned, deadlines are met, and client communication remains clear and organized. Responsibilities include tracking action items, managing timelines, preparing recaps, supporting reporting workflows, and helping maintain operational consistency across accounts.

The ideal candidate is detail-oriented, dependable, proactive, and comfortable operating in a fast-paced remote environment. This role is well-suited for someone who enjoys bringing structure to moving pieces, follows through consistently, and helps ensure nothing slips through the cracks.

Expected Outcomes & Accountability

This role is ultimately responsible for helping keep client accounts organized, aligned, and moving forward efficiently across internal teams and workflows.

Success in this role means:

  • Operational Consistency: Projects across assigned accounts stay organized and on track — action items are documented, deadlines are met, and nothing slips through the cracks.

  • Execution Support: Internal teams and stakeholders consistently know what’s next through clear, timely, and actionable communication.

  • Project Visibility: Risks, blockers, timeline concerns, or missing information are identified and communicated proactively.

  • Communication Clarity: Meeting recaps, reporting support, timelines, and account documentation remain accurate, organized, and dependable across accounts.

  • Cross-Functional Alignment: Teams stay aligned across priorities, deliverables, and next steps through proactive coordination and follow-through.

  • Reliability & Follow-Through: Operational workflows remain organized and dependable, allowing Account Directors to spend less time on coordination overhead and more time on strategic account management.

The ideal candidate combines organization, proactive communication, attention to detail, and the ability to create structure in fast-moving environments.

Responsibilities

Account Coordination & Project Support

  • Support the Account Director with day-to-day account coordination and internal project management.

  • Track project timelines, deliverables, action items, and next steps across multiple client accounts.

  • Create, assign, and manage tasks within project management systems to ensure visibility and accountability across teams.

  • Help ensure projects move forward efficiently by proactively following up with internal stakeholders and maintaining alignment across departments.

  • Monitor project progress and flag risks, blockers, or timeline concerns early.

Client Communication & Reporting Support

  • Prepare and distribute meeting recaps, clearly documenting key takeaways, action items, and next steps.

  • Support client communication through meeting coordination, reporting assistance, follow-up organization, and preparation of client-facing materials.

  • Assist with reporting workflows, data organization, and account documentation.

  • Help maintain organized communication and consistent follow-through across accounts.

Cross-Functional Collaboration

  • Collaborate closely with account, media, creative, strategy, and leadership teams.

  • Support coordination across multiple departments to ensure priorities, deliverables, and timelines remain aligned.

  • Communicate clearly and professionally with both internal teams and external stakeholders.

  • Support internal workflow improvements and operational consistency across accounts.

Qualifications

  • 1–3 years of experience in account coordination, project coordination, client services, operations, or similar support roles. Agency experience is a plus.

  • Excellent written and verbal communication skills in English.

  • Exceptionally organized with strong attention to detail and the ability to manage multiple projects, timelines, and priorities simultaneously.

  • Strong follow-through and ability to stay organized in fast-moving environments.

  • High emotional intelligence and strong interpersonal skills — you know how to keep people accountable without creating friction.

  • Ability to work independently while collaborating closely with cross-functional teams.

  • Experience with project management or workflow tools such as Productive, Asana, ClickUp, Trello, or similar platforms is strongly preferred.

  • Proactive mindset with strong problem-solving and communication skills.

  • Comfortable operating in a remote and collaborative work environment.
